How We Work

A defined process, run the same way every time.

Every engagement moves through the same six stages, with the same checkpoints and the same commitments in writing. You know what happens next, what we need from you, and when — from the day you sign to the day your team runs it independently.

  1. 01Contract & Kickoff

    Day 0

    Scope agreed in writing, then a first call on the calendar within a few business days. You also receive a short preparation guide — what we’ll ask for, and where it usually already lives.

  2. 02Discovery

    Within ~2 weeks

    Two working sessions. The first covers how your organization runs events today — the last one you ran, what worked, what didn’t. The second confirms specifics: your calendar, your people, your event types.

  3. 03Building Your Workspace

    ~2–3 weeks

    Your dedicated CrownEvents.OS instance is provisioned and configured, and your upcoming events are loaded from our templates and tailored to how you run them, alongside your team, vendors and event history. You review it, we revise once, and it passes an internal quality gate before go-live. Nothing reaches you half-finished.

  4. 04Training & Go-Live

    Once your instance is ready

    A single working session — not a software demo. Your actual next event, already built in the system, with your team driving while we guide. Everyone leaves with their own login, having done something real, and your instance is live.

  5. 05Implementation Support

    60 days after go-live

    Check-ins every two weeks at first, then monthly, while the new process becomes the normal one. Our fastest response targets apply throughout: standard questions within one business day, and same-business-day attention for anything blocking an event in the next seven days.

  6. 06Handover

    Ongoing, on subscription

    A closing review once your first events have run the new way: what’s been delivered and what it returned, with the return report in your hands before the conversation. From there, your team runs the platform independently, and the Hosting & Support Subscription keeps it hosted, secured, maintained and supported. The subscription is required; it’s how CrownEvents.OS is licensed.

What we ask you to send

All of it is material you already have. Send it exactly as it is — no cleaning up, no reformatting, no retyping into a template. Structuring it is our job, and the messy original tells us more than a tidy summary would.

Before You Commit

The questions that come up first

Answered the same way here as they are once you’re a client — every engagement starts with a written guide covering all of this and more.

Who needs to be involved, and for how long?

Two people carry it: whoever approves scope and timing, and whoever actually runs your events day to day. They’re frequently not the same person, and we need both — the second one more than the first. Everyone else who’ll use the system joins a single 90-minute training session at go-live.

Can we buy or self-host the software?

No. CrownEvents.OS is proprietary software: it’s licensed, not sold, and it’s available only as a managed subscription, on a dedicated instance we host, secure and maintain for you. It can’t be bought outright, self-hosted or copied, and the code is never handed over. The Implementation Engagement pays for the work of setting it up around your operation; the subscription keeps it running, with nothing for your IT team to install or patch.

What does the monthly subscription include?

Everything it takes to keep your instance running well: dedicated hosting in the US, daily backups, security monitoring, platform updates and maintenance, and support. Confirmed defects are fixed at no charge, how-to questions are answered within two business days, and a set allowance of light admin help (user issues, settings tweaks, small data corrections) comes with it each month. It’s required for access, starts at go-live, and runs for an initial 12-month term, then month to month.

How many people can use it?

As many as you need: unlimited named users at your organization. Everyone gets their own login at your organization’s email domain, and logins are never shared. Your account owners and admins add people, remove them and set their roles themselves. If someone outside your domain needs access, such as a contractor, we can add them once you’ve confirmed in writing that they’re bound by confidentiality.

What if we need a change?

Most changes are yours to make. From go-live, your team creates, edits and manages every event directly, with no request and no charge. When you’d like us to do something, like reconfigure your instance, load a new batch of events or run more training, send a change request: we’ll tell you whether it’s included, and quote anything that isn’t before any work starts. Feature ideas are welcome too. CrownEvents.OS is one platform, improved for every client, so good ideas go on the product roadmap rather than into a one-off version.

Do we own our data?

Yes. Your data is yours; the platform and methodology are ours. Your event records, budgets, vendor information and uploaded documents belong to you, and that’s written into your agreement, not just a policy. The software, its templates and the methodology behind them remain NorthCrown’s, licensed to you while your subscription is active. You can request a full export of your data during your term, and again in the 30-day window after it ends.

Is our data shared with other clients?

No. Every client runs on a dedicated, single-tenant instance, with its own database, its own private file storage and its own address, provisioned for you alone. It isn’t a shared system with your records partitioned off inside it. Nothing is shared between clients, your data is never sold, and it’s never used to train AI models. For a security review: a dedicated Postgres database and private S3-compatible storage per client, hosted in the US, not multi-tenant.

How your data is protected
What happens if we stop paying or cancel?

Access runs on the subscription, so it ends when the subscription does, on a published schedule rather than by surprise. If an invoice goes unpaid, reminders come first; access then steps down to read-only, and later to suspended, before the agreement is terminated. After the initial 12-month term, you can end the subscription with 60 days’ written notice. Either way, when it ends you have a 30-day window to request a full export of your data. After that, your instance and all of its data, backups included, are permanently deleted, and you receive a certificate of deletion. Nothing is held hostage, and nothing is kept forever.

Will this replace the tools we already use?

Partly, and deliberately not entirely. It replaces the spreadsheet-and-email-threads approach to running an event. It is not a full event-management platform and doesn’t try to be one — no ticketing, registration or on-site check-in. If you use something for those, keep it.

What happens to our existing vendor relationships?

They come with you — contacts, documents and spend history. The point is to stop losing that institutional memory between events, not to move you toward different suppliers.

What if the person who runs our events leaves?

The process is documented and the data is in the system, which is most of the point — an event operation that lives in one person’s head walks out the door with them. Your admins switch off their login and invite their replacement themselves, and the replacement inherits a working system and a written guide.

How do we know it worked?

You get a report comparing your events against the baseline you gave us at the start: hours, budget accuracy, and what the event actually returned. Built from your own numbers, not industry averages — and it arrives before the closing review, not during it.
